What Is HRIS?
HRIS refers to the system in which we can collect &
store an organization’s employees. In other words, a human resource
information system (HRIS) is a system that allows you to keep track of all of
your employees and their personal information. It is usually done in a
database, or, more commonly, a group of databases that are connected together.
An HRIS includes the fundamental functions required for
end-to-end Human Resource Management (HRM). It is a recruiting, performance
management, and learning and development system.

Advantages of HRIS
There are a lot of advantages for using HRIS in human resource
management those are given below:

Timely Record Keeping
An HRIS is a record-keeping system that maintains track of
any changes to employee-related information. When it comes to personnel data,
the HRIS may be viewed as the one source of truth.

For compliance purposes, certain data is gathered and
retained. This contains material for identifying workers in the case of theft,
fraud, or other misbehaviors, first contact information in the case of an
accident, citizen’s identity information for the tax office, and obligatory
certification expiration dates. All of this data may be saved in the HRIS.

Having all of this information in one location not only
improves accuracy but also saves time. Some businesses still store a lot of
information on their employees on paper. Finding the proper folder and the
relevant document might consume a huge amount of staff time.

The HRIS allows for the tracking of data needed to develop
HR and company strategies. Depending on the organization's goals, various data
will be required to be tracked.

Another advantage is the possibility to provide self-service
HR to employees and supervisors. Employees are able to manage their own affairs
as a result of this. When done correctly, the HRIS may provide a positive
employee experience. Keep in mind that not all HRIS systems provide this in an
easier way.

Applicant Tracking System
This program will take care of all of the company's
recruitment needs. It keeps track of candidate information and resumes,
enabling recruiters to match job opportunities to qualified candidates from the
company's application pool, and assists in the recruiting process.

Payroll automates the process of paying employees.
Contractual data and information on new recruits are frequently put into this
system – sometimes in combination with time and attendance data – and payments
orders are generated at the end of the month.

This module collects employee time and attendance data.
These are highly relevant for shift workers who clock in and out. Nowadays,
employees frequently check-in using their fingerprints or a card that is linked
with an HRIS. This provides an accurate arrival and departure time. Any
lateness issues are immediately identified.

When it comes to personnel management, learning and growth
are major elements. This section enables HR to track workers' qualifications,
certification, and abilities, as well as an explanation of available courses
for corporate personnel.

Performance Management
Performance management is an important aspect of people
management. Performance ratings are created once or more times a year by the
employee's direct supervisor or peers.

Reporting & Analytics
Modern technologies allow for the automated preparation of
HR reports on a variety of issues such as employee turnover, absenteeism,
performance, and more. Analytics involves analyzing this information in order
to make more informed decisions.

Usually HRIS is used for monitoring and manage employment actions such as applicant tracking, performance management, attendance, compensation and benefits management, work force analyses, and scheduling. HRIS system information can be used to make HR decisions. Very interesting article.
